In email clients, the setting of automated absence notes is now standard. If most of the communication takes place from the ERP system Odoo, this was not possible within the system until now. With the Absence Notification module from manaTec GmbH, we provide you with a simple and user-friendly way to make your internal and external communication even more efficient and transparent. In today's blog, we will show you how you can easily set up absence notifications with our module so that your colleagues, suppliers, customers and partners know at all times whether your employees are present or who they can contact in case of a substitution.

Odoo generally offers the convenient architecture of objects. Such objects are, for example, contacts, procurement or sales orders or tasks within a project. Each of these objects can be assigned to an internal employee as the person responsible, the so-called object owner. In addition to this, subscribers can be added to each object, who are included in a communication about this object. Subscribers can be internal employees as well as external contacts.

For the absence note, we now distinguish between notification to internal employees and external contacts. If an internal employee sends a message to an object in Odoo, he will receive the absence note from all absent persons who are either object owners or subscribers of the object. External contacts receive the absence notification from the object owner only.

In the first step, the module offers a new menu item within the configuration, the Responsible Contact. This defines per object in which field the information about the object owner is located. This is, for example, for a contact the salesperson or for a task of a project the person who is specified in the field "Assigned to".

In the next step, the user can already create his personal absence note. To do this, we navigate to our profile via the "Settings" menu item and scroll down to "Out of office note". Via "Add entry" we can now define a title, the start and end date as well as a message for our out-of-office note. After that we click on "Save & Close".

The absence note is now sent within the absence time. The absence note is only sent once to each recipient per absence time. This is logged in the background in our module.

If the user creates a new absence note, the log is cleaned up, and Odoo sends the absence note again to each recipient once for the newly defined period. Alternatively, we can edit the already existing absence note and deactivate and reactivate it via the slider in the "Active" column. This has the effect that the log of the already sent absence notes is also deleted and the already existing and edited absence note sends notifications again.

For internal employees, the notification takes place either by mail or via the inbox in Odoo, depending on the setting in Odoo. An external contact receives the notification via email within his email client.
