manaTec Time Tracking

Time tracking using our hardware and software specially developed for Odoo.

Employers in Germany are obliged according to § 16 section 2 of the Working Hours Act to document the working hours of their employees that exceed the maximum daily or weekly working hours. This documentation must be kept for two years.

The European Court of Justice ruled in mid 2019 that employers in the member states of the European Union must now record all working hours of their employees. This is to ensure that the maximum permissible working hours are not exceeded.

Irrespective of when a law to this effect is passed in Germany, companies should already start thinking about how they will record the working hours of their employees in the future.

We have developed a solution for this, the manaTec Time Tracking. The manaTec Time Tracking consists of the hardware, the Odoo add-on and a specially developed module for the evaluation and reporting of working hours and overtime in Odoo.

The functionality.

The manaTec Time Tracking is based on IoT technology using a card reader, NFC chip cards and an add-on for seamless integration into Odoo. The hardware only reads and transmits the working hours. The data storage, documentation and reporting is done in Odoo. The architecture thus ensures a consistent data stock in Odoo.

The card reader can be installed anywhere in the company thanks to a network connection via WLAN. The configuration of manaTec Time Tracking is very easy. For this purpose, only the chip card IDs are assigned to the employee in Odoo. The validity of an NFC chip card can be limited to a certain period of time, e.g. for employees with limited employment contracts. In addition, an NFC chip card can be deactivated, e.g. if the chip card is lost. In this case, a new chip card can be easily assigned.

The usability for the employees is intuitive and simple. Arrival and departure times are recorded by holding the NFC chip card at the reader. Afterwards the employees receive a visual and acoustic signal to confirm the successfully recorded time.

By means of the chip card ID stored in Odoo the card ID sent by the card reader can be assigned to an employee by Odoo. The data storage and documentation is done in Odoo in the module Attendance and is additionally linked to the employee in the module Employees. Via these two modules, time recording entries can be added or edited manually at any time.

With our Overtime Evaluation module, we offer the possibility of creating meaningful reports. The module focuses on the evaluation of minus and overtime as well as attendance and recorded project time. The reporting is not only displayed in Odoo itself, but can also be output as a PDF report.

The hardware.

As described above, the hardware consists of the card reader and ten NFC chip cards. Alternatively, we provide the NFC cards in a higher quantity for an additional charge. To begin with, the card reader is connected to the WLAN network and the Odoo URL is stored. Thanks to the WLAN connection, the device can be placed anywhere in the area of the access point and only requires a power connection.

The device is configured via a modern, responsive web interface and can be accessed on the same network via desktop browser or smartphone. The device configuration can also be saved and restored.

In addition to showing the time on the display, status information and connection tests for error diagnosis can be accessed via the menu. The device transmits the card ID to Odoo via an encrypted HTTPS connection and is therefore suitable for all non-security critical applications. In contrast to many non-updatable IoT solutions on the market, the hardware can be supplied with security and function updates.
